A note on GDPR

Clinical data in a personal Google account is not the same as compliant storage

Article 9 of the GDPR classifies health data as a special category — the highest protection level. Appointment notes, session details, patient names paired with session dates — these are health data.

Storing them in a personal Google Calendar account means they're governed by Google's consumer privacy policy, not a data processing agreement designed for health data processors. The difference is small until it matters — a data subject request, a breach, or an audit.

I already use Google Calendar and it works fine. Is switching worth it?

If you have fewer than 8 patients and admin feels manageable, probably not. The value of a dedicated practice system shows when patient volume grows and the patchwork — different apps for notes, payments, messages — gets harder to maintain manually.

Is the GDPR risk actually real for a small practice?

Yes. The regulation applies regardless of practice size. The practical risk is small for most therapists most of the time — until there's a data subject request, a complaint to the data protection authority, or a breach. At that point, "I was using my personal Google account" is not a compliant answer.
